Yes. SimplePractice supports role-based access controls, and we use a dedicated biller login with only the permissions needed to do billing work. We sign a Business Associate Agreement (BAA) with every practice we work with, and SimplePractice itself is a HIPAA-compliant platform. No patient data ever leaves your SimplePractice environment.

We have access to the billing module, patient insurance information, clinical notes (for coding review), and the scheduling calendar. We do not have access to anything beyond what's required for billing. Your providers' personal information, practice financial accounts, and any settings outside the billing workflow are not within our scope.

We charge a percentage of collections, typically between 5–8% depending on practice size, payer mix, and complexity. There are no setup fees, no monthly minimums, and no charges for months with low volume. We earn when you earn. Exact pricing is discussed during your discovery call once we understand your specific situation.

We work on a one-year contract. Most practices stay well beyond that because the results speak for themselves.

Most practices are fully onboarded and actively billing within a few business days of granting us access. The first week typically involves a billing audit of your existing A/R, a review of your fee schedules and payer contracts, and getting your dedicated biller up to speed on your specific workflow. We don't disrupt your clinical operations during this process.

We can work alongside an existing front desk person or office manager, taking over the complex billing work (claim submission, denial management, ERA posting, appeals) while your staff continues to handle scheduling, intake paperwork, and patient-facing tasks. We'll define the division of responsibilities clearly during onboarding so there's no confusion.

We work with most major commercial payers, managed care organizations, Medicare, Medicaid, and state-specific behavioral health plans. We also have experience with EAPs, out-of-network reimbursement, and self-pay/sliding scale practices. If you have a payer you're unsure about, ask us during the discovery call.
